AssetSonar integrates with Google Workspace Cloud Software to bring in the data on all cloud software used across your organization. Now you can create and manage software licenses in AssetSonar for applications detected via Google Workspace Cloud Software, enabling your IT team to get insights on users who haven’t logged into their assigned applications via Google Workspace Cloud Software, resulting in optimal license usage.
Here is how this integration can benefit your organization:
- Integrating AssetSonar with Google Workspace Cloud Software lets you centralize all your cloud software information. You can get the last login information from this integration.
- Centralized access rights management helps you enhance your security posture and eliminates the risk of unauthorized access.
- AssetSonar integration with Google Workspace Cloud Software ensures user data is consistent across different systems. When a user’s software usage information is updated in Google Workspace Cloud Software, it automatically updates in AssetSonar too. This consistency is crucial for maintaining accurate records and efficient operations.
Now let’s see how to enable this integration and what actions we can take regarding the application brought in through Google Workspace Cloud Software.
Enabling the Google Workspace Cloud Software Integration
From your AssetSonar application, go to Settings → Integrations → Google Workspace Cloud Software Integration. Click ‘Enabled’ to turn on the integration and update the settings.
Once you have enabled the setting, you’ll be prompted to provide credentials to complete the integration. You can also check the option to schedule the sync for every 24 hours. Click on the ‘Add Credentials’ button.
After clicking “Add Credentials”, the user will be redirected to the Google sign-in page, where they will have to grant permissions.
Once Done, the user will be redirected back to AssetSonar and the integration will be connected successfully.
Hit the global update button in the AssetSonar settings to finish creating the integration.
Enabling the integration will allow you to bring all your software applications from Google Workspace Cloud Software to AssetSonar. It will also fetch the associated users with every application and the details of the last login attempts.
Synced Software Applications
On the Cloud software listing page, you can view the applications fetched from the Google Workspace Cloud Software platform via this integration.
Go to the details page for any software, and you’ll be able to view Google Workspace Cloud Software as a discovery source of that software as shown below:
Go to the ‘Associated Users’ tab of the software, and you’ll see a list of users who accessed the cloud software you brought in through Google Workspace Cloud Software. This tab would give you information on all the associated users against a cloud software application and provide details on when those users last logged in the system. Here is a snippet of the list:
Enabling Auto-entitlement for Google Workspace Cloud Software
AssetSonar now supports auto-entitlements for software licenses associated with Google Workspace Cloud Software. Previously, auto-entitlement was only available for licenses created through Okta, Azure, OneLogin, or other SaaS integrations. Now, this functionality extends to software added via Google Workspace (GSuite).
With this update, all users associated with Google Workspace Cloud Software will be automatically entitled to the respective software licenses.
To enable this setting, go to Settings → Integrations → Google Workspace Cloud Software Integration and click “Enable auto-entitement for software licenses.”
By enabling this setting, the users associated with Cloud Software from Google Workspace will be automatically entitled to the respective software license. This will reduce manual effort and ensure seamless license allocation.
