The CDW integration is AssetSonar’s first integration in the procurement category. This functionality bridges the information gap and time lag for procurement in IT by automatically bringing in purchase information from CDW POs for the relevant hardware assets and asset stocks. By eliminating manual data entry and syncing critical information from CDW in real time, IT teams gain improved accuracy, enhanced visibility, and faster workflows – all from a single source of truth.
When you turn on the CDW integration in AssetSonar, it acts like a smart assistant that grabs all your purchase information – as soon as you buy hardware from CDW, the details are instantly sent to AssetSonar. No downloads, no data entry, no spreadsheets – just clean, consistent, real-time visibility from day one.
Here’s what comes in for every purchase order:
- What was ordered (name, model, type—hardware or software)
- Who you bought it from (vendor name, city, etc.)
- When you ordered it (order date and invoice date)
- How much it cost (price per item, total amount)
- Where it’s going (shipping city)
- Who requested it (person placing the order)
AssetSonar automatically creates a purchase order with all this information and marks it as completed.
Whether you’re managing large hardware contracts or tracking incoming peripherals, this one-way integration ensures that AssetSonar stays aligned with procurement at all times – helping you reduce overspending, increase compliance, and maximize the ROI of every IT investment.
Benefits of CDW Integration
AssetSonar’s integration with CDW not only streamlines asset management but also enables organizations to achieve better control over costs and optimize technology spend. By having accurate and up-to-date data, IT teams can make more strategic decisions, avoid over-procurement, and identify cost-saving opportunities throughout the asset lifecycle. This is instrumental in helping organizations achieve the financial efficiency they need in managing their IT resources.
Here is how this integration can add further value to your organization:
- Centralized asset information: This integration allows you to bring detailed data for your assets and asset stock, including manufacturer and model details, quantities, pricing, and vendor-specific information, helping to keep your asset information as accurate as possible.
- Data integrity: With CDW and AssetSonar integration, IT teams get a single source of truth for both procurement and IT asset management. This simplifies tracking, reporting, and auditing – providing consistency across departments.
- Cost optimization: CDW provides detailed costing information, including the purchase details for hardware assets. This data is critical for budgeting, cost allocation, and ensuring compliance with financial requirements.
- Procurement automation: Automating the data flow from CDW into AssetSonar reduces manual entry and errors. This increases efficiency in asset tracking and management, allowing teams to focus on higher-value tasks.
- IT asset lifecycle management: The integration helps track hardware assets throughout their entire lifecycle—from procurement to retirement. This provides insights for optimizing asset utilization and minimizing unnecessary expenditures.
Now, let’s see this integration in action.
Enabling CDW Integration
Follow this pathway to enable the integration: Settings -> Integrations -> Procurement Integration -> CDW Integration. Click ‘Enabled’ and save the setting.
Now, you’ll need to add credentials to build the integration. Click the ‘Add Credentials’ button, and a pop-up will appear as shown below:
You’ll be required to add your URL which would be provided by the AssetSonar team. You’ll also be required to enter the account number from your CDW account. Please note that enabling the integration with AssetSonar is not a standard configuration toggle. To activate the integration, the customer must notify CDW that they want to integrate with AssetSonar.
Each customer works with their own dedicated CDW representative. Once the rep has been informed, CDW will handle the necessary steps on their end and coordinate with our team to complete the integration setup.
Once you have filled out both fields, click ‘Update,’ and your AssetSonar account will be integrated with your CDW account.
Viewing PO Information
Once the integration is successfully enabled and a new device or asset stock is procured through CDW, a new PO (Purchase Order) will be generated against it in AssetSonar. You’ll be able to view these purchase orders on the POs listing page.
Click on a purchase order to open its detail page. You’ll be able to view CDW as the vendor. Here is a snippet of the PO where the information is fetched from CDW.
You will get the following details from CDW:
- Name of the asset
- Serial number of the asset
- Manufacturer
- Quantity of the asset/asset stock
- Pricing details
You’ll also be able to view the pricing details and the status of the purchased assets on the PO detail page.
You can also view the sync logs of AssetSonar with CDW to get sync history on all POs created through this integration. From the POs listing page, go to the ‘Sync Logs’ tab to view this information. You’ll also get details on whether the syncs were successfully executed or not. Here is a snippet of the Sync Logs tab:
If an asset is procured through CDW, you’ll be able to see this information reflected on the asset detail page under the ‘Purchase Information’ tab, as shown below:
