[ITSM | How-to] Adding Lookup Fields to Forms in AssetSonar

Why It Matters

Using lookup fields pulls live, standardized data directly from your AssetSonar system. This prevents users from making typos or using outdated names when entering their department, location, or the specific asset they are having trouble with.

How to Set It Up

  • Access the Builder: Navigate to Administration → Forms and open your form to the main builder layout. Use the small side panel to Add a question.
  • Select a System Field: Instead of choosing a standard text or static dropdown format such as Short Answer, expand the dropdown to select a system-linked field type from your available options—such as Actor, Location, or specific hardware items.
  • Configure and Save: Configure any specific constraints for this question (like making it Mandatory) and save it. By doing this, your form will dynamically query your backend and display the most up-to-date, accurate choices directly to the end-user.

Next Steps

Add an Actor or Location question to a test form, click Preview, and verify that the dropdown successfully pulls your actual, live list of users or offices.
