Why It Matters
Hiding specialized forms—like server access requests or administrative onboarding—from general employees keeps the catalog uncluttered and prevents unauthorized users from submitting high-level IT requests.
How to Set It Up
- Access the Settings: Navigate to Administration → Forms and open the specific form you want to restrict. Click on the Access Control tab located in the side panel.
- Define Permissions: By default, forms might be set to a broad public view. To restrict it, change the settings to explicitly define who can see this form. You can choose to restrict access to specific profiles (such as only showing it to “Admins” or “Agents”) or even restrict it down to specific users.
- Generate Direct Links (Optional): If you need to share a hidden form with a specific person temporarily, you can also use this tab to generate a direct link, allowing unauthenticated or restricted users to access it only when provided the exact URL.
Next Steps
Log into the Employee Portal with a standard user account to ensure the restricted form is completely hidden from their catalog, verifying your access controls are working exactly as intended.
