[ITSM How-to] Allowing Users to Select Their Assigned Devices in Forms in AssetSonar ITSM

Why It Matters

Allowing users to select the exact broken device from a personalized list of their own assigned assets eliminates confusion. It gives your agents immediate, direct access to the hardware’s backend specifications without having to ask for a serial number or asset tag.

How to Set It Up

  • Access the Builder: Navigate to Administration → Forms and open your specific hardware request form to the main builder layout. Use the small side panel to Add a question.
  • Select the Item Type: Instead of a generic text box asking “What is broken?”, select Item as the Response type and then select User Devices from the dropdown beside it.
  • Filter Device Types: From the final dropdown, select which kinds of user devices you wish them to respond with (e.g., computers, phones, or monitors).
  • Save: Save your changes. Now, when an employee views the form, the system automatically cross-references their login ID and presents a dropdown containing only the specific computers, phones, or monitors officially checked out to them.

Next Steps

Log into the Employee Portal as a standard user who has an assigned laptop, open the form, and confirm that the dropdown accurately restricts the choices to only that specific piece of assigned hardware.
