[How-to] Use the Missed Rentals Report in EZRentOut

Ever wondered how much rental demand goes uncaptured when items are unavailable or customers turn away before placing an order?

With EZRentOut’s Missed Rentals Report, you can log and analyze every missed rental opportunity, both automatically and manually. This helps you identify popular items, forecast demand, and make smarter purchasing decisions.

1. What counts as Missed Rentals?

In EZRentOut, Missed Rentals refer to any attempts to rent or buy quantities of items that are unavailable or out of stock, either on your Webstore or on your EZRentOut app. It is also important to note that the report only counts the attempts by Customers who are signed in, and does not include guests.

Say you, as a signed-in Customer, try to add 10 backpacks to your Cart, even though there are only 7 available.

You’ll see the following error, and will be unable to add the items to your Cart:

Depending on your settings, you may be able to add unavailable items to your Cart, but you will not be able to check them out. This is flagged by an error icon, as shown below:

In both these cases, the Customer’s attempts to rent or buy the item will be logged as Missed Rental. Here’s what the missed rental report looks like:

Below, we’ll learn how to generate reports like these using EZRentOut.

2. Getting Started with Missed Rental Tracking

Enable for internal Orders

To track any missed rentals through internal Orders on the app, go to Settings → Orders → Track Missed Rentals → Enabled.

Enable for Webstore

To track any missed rentals on the Webstore, go to Settings → Store Settings → Track Missed Rentals, and enable this option.

Please note: For this to work, go to Settings → Store Settings → Order Settings → Enforce Conflict-Free Booking of Orders, and enable this option. This is because if conflicting orders can be booked, no rental will be missed. It is only when orders are conflict-free that you can ‘run out’ of a particular item.

3. Log a Missed Rental

You can now manually record missed rental opportunities directly.

To log a missed rental:

  1. Go to the Add (+) sign in the top right corner of your screen and click on ‘Missed Rentals’. 
  1. You will see a popup where you can enter the details of the missed rental: 
  1. Enter the details and then click on ADD TO MISSED RENTAL REPORT

Note: Missed Rentals can also be accessed from the blue banner link at the bottom of the form.

4. View and Analyze Missed Rentals

To access the report, go to Reports (Navigation Menu) → Business Insights → Missed Rentals.

You can filter results by:

  • Item Type: Assets, Asset Stock, Inventory, or Bundles
  • Group / Subgroup
  • Missed Rental Date: The time period for which you want to review missed rental opportunities
  • Missed Rental Revenue – shows the potential rental amount calculated using the pricing engine based on the item’s standard rate and selected duration.
