[How-to] Use the Checklist Global Library in EZO CMMS

Keeping maintenance tasks organized, consistent, and efficient can be challenging, especially when teams rely on manually created checklists. That’s where the Checklists Global Library comes in! Instead of building checklists from scratch, administrators can now access a ready-made collection tailored to different assets and maintenance tasks.

With this feature, you can standardize procedures, save time, and ensure every technician follows the right steps—all while maintaining industry best practices. Whether you’re managing facility inspections, preventive maintenance, or compliance tasks, the Checklists Global Library makes the process seamless.

Benefits of the Checklists Global Library

1. Ensures standardized maintenance procedures

Using pre-built checklists ensures every technician follows the same process when performing equipment inspections or routine maintenance. This reduces errors, enhances quality, and keeps operations running smoothly.

Facility managers can quickly deploy ready-made checklists, making it easier for teams to adopt a structured approach to maintenance. With a standardized system in place, checklists become a natural part of daily operations.

How to Use Checklists Global Library

The Checklists Global Library provides a collection of pre-built checklist templates, making it easy to standardize maintenance procedures across different industries. Users can access, modify, and import these templates to streamline workflows and ensure consistency in maintenance tasks.

To access Global Library, go to the Maintenance module → open Work Orders → click on the Checklists tab → select the Global Library tab. 

You can also access it by selecting the dropdown button of the Create Checklist → Use Global Library. 

Using pre-built checklist templates 

The Global Library contains industry-specific checklist templates, similar to the structure in the Reports Module.

The pre-built checklists can be linked to a specific work order. To do that, open a pre-built checklist from a particular industry and click “Link to Work Order.” 

Note: Checklists can be directly used in Work Orders or saved as Version 1 after editing.

Users can modify templates by adding or removing line items, renaming the checklist, or updating descriptions to match their specific needs.

Importing checklists from the Global Library 

While creating a new checklist, users can import a template from the Global Library and customize it.

Users also have the option to import the original checklist without modifications, saving it as My Checklists for quick access in future Work Orders.
