[How-to] Charge Delivery and Pickup Fees in EZRentOut

As a rental business, you need to be able to charge a delivery and pickup fee for all orders, especially web orders. EZRentOut has introduced a new add-on that enables you to set up a method to easily calculate delivery and pickup fees.

1. Enable Delivery Fee

To enable Delivery Fee, go to Settings → Add Ons → Delivery Fee and click ‘Enabled’.

You can choose multiple different delivery fee calculation methods. Let’s go over all of them:

You can choose to apply a delivery fee only on certain orders that have a total greater than equal to/greater than/equal to/less than equal to/less than a specified amount. For example, in the example above, you can charge a delivery fee on orders with a total of less than $49.

Irrespective of the order total, apply a flat delivery fee of X amount on each order.

The delivery fee will be a certain percentage of the Order total. For example, if you specify the delivery fee as 10%, you will charge $2 for delivery on an Order worth $20.

This option is required when the business offers free delivery for nearby orders but wants to charge a fee for orders farther away, or vice versa. You can specify the amount to charge per mile or kilometer. Then further specify under what circumstances this fee is to be applied, i.e. if the distance is equal to/greater than/equal to/less than equal to/less than a specified distance.

NOTE: You can select multiple delivery fee options at once.

Now let’s discuss the two locations you can choose from:

  1. Calculate the distance from the delivery location to a specified location:

    In this option, you can add a specific location or choose from a dropdown list of existing locations. This location will always be the Point A from which the distance to the pickup location will be calculated.
  2. Calculate the distance from the delivery location to the Order location:

    In this option, Point A will always differ since it will change depending on the Order location.

NOTE: If there are multiple routes on Google Maps for a singular location, EZRentOut will pick the fastest route even if it is longer in distance, and it will calculate the fee accordingly.

2. Enable Pickup Fee

To enable Pickup Fee, go to Settings → Add Ons → Pickup Fee and click ‘Enabled’.

The multiple pickup fee calculation methods are the same as the delivery fee calculation methods.

Note: You can select multiple pickup fee options at once. However, if you select the first option then the following two options (apply fixed pickup fee and apply pickup fee as a percentage of Order total) will only be applied if and when the first criterion is fulfilled.

Now let’s discuss the two locations you can choose from:

  1. Calculate the distance from the pickup location to a specified location:

    In this option, you can add a specific location. Choose from a dropdown list of existing locations. This location will always be Point B from which the distance to the delivery location will be calculated.
  2. Calculate the distance from the pickup location to the Order location:

    In this option, Point B will always differ since it will change depending on the Order location.

NOTE: If there are multiple routes on Google Maps for a singular location, EZRentOut will pick the fastest route even if it is longer in distance, and it will calculate the fee accordingly.

3. Apply Delivery/Pickup Fee

To apply Delivery/Pickup Fee to any Order, go to Orders → Open a particular Order and click on the ‘Apply Delivery/Pickup Fee’ button on the right.

This opens up the following overlay:

If you want to change the delivery address, then you can select ‘Add’. This opens up another dialog box where you have to fill out details about the customer, such as address and contact details. Once you’re done, simply select which fee you want to apply, or even both, and click on ‘Apply Fee’.

You cannot change the pickup address because orders will automatically be delivered to the specified address you entered when enabling this add-on.

If you enter the correct longitude and latitude values, you will also be able to view the distance from Point A to Point B visually on the map once you select that option.

Once the delivery and pickup fees have been applied, you can see them as such, and even delete them if you want by clicking the ‘X’ icon next to them:

4. Delivery/Pickup Fee on the Webstore

If you have selected the checkbox ‘Charge delivery fee on Web Orders’ and ‘Charge pickup fee on Web Orders’ then the same settings you specified when enabling the add-on will be applied.

So when a user places an order via the Webstore, the delivery and pickup fees will already be applied.

However, you can also set store-specific Delivery and Pickup fees on the Webstore. To do so, go to More → Multi-store listing → Open the particular store you want → Settings tab. From the tab, you can choose to apply the Delivery fee and Pickup fee.

The functionality is the same as discussed above in the section ‘Enable Delivery Fee’. The only difference is that these settings will only apply to this particular multi-store listing on the Webstore.

5. Custom Reports for Delivery/Pickup Fee

You can also run a custom report surrounding the delivery and pickup fees. To do so, simply go to More → Reports → Custom Report → Select Orders module in Step 1. In step 2, you can customize the fields you want to add to the report. Here, you will see that two new fields for both fee types have been added:

After applying any further filters and grouping rows, you can run the report. It will look something like this, where you can see all the delivery and pickup fees for each Order as well:

6. Add Delivery/Pickup Fee in Tax Calculation

Once you apply the delivery and pickup feed to an Order, both of them are displayed with a small text next to them that reads ‘Not included in tax calculation’. You can include both fees in your tax calculation. Go to Settings → Company Settings → Tax Details and select the checkboxes for Delivery Fee and/or Pickup Fee:

Don’t forget to scroll down and click ‘Save Settings’. Once you’re done, the delivery fee and pickup fee will automatically be included in the tax calculation for any new Order you create.

Whereas previously the fees had an orange mark on them, they now have a green one, signifying that they are part of the tax calculation.

However, if you still want to change the tax calculation settings for a particular Order, you can do so by clicking on the orange mark as shown below and selecting ‘Included in tax calculation’:
